Operations and Development Coordinator
Duties
- Under the supervision of the Executive Director:
- Oversight of Daily Operations (35%)
- Human Resources (25%)
- Development and Fundraising (25%)
- Facilitation of 24-hour Core Services (10%)
- Perform other related duties as assigned (5%)
Essential Functions
Oversight of Daily Operations (35%)
- Open and close the office according to business hours
- Manage mail and receivables
- Maintain office supplies and outreach materials inventory
- Oversee office equipment maintenance and servicing
- Oversee data collection for direct services, community education, and professional trainings in collaboration with Advocacy Coordinator and SANE Coordinator
- Assist with the completion and submission grant applications and reports
- Supervise the Administrative Assistant
- Oversee agency communication including but not limited to, social media, website, Constant Contact mailings, inquiries, and routine office correspondence
- Participate in Administrative Team meetings
- Assist with accounting functions as needed
- Coordinate Building for Women common space reservations and any special events
- Assist with the oversight of Building for Women repairs and maintenance projects
Human Resources (25%)
- Coordinate HR responsibilities in consultation and collaboration with Human
- Resources consultant, Audacity HR Solutions
- Manage recruitment and hiring processes for new personnel
- Ensure compliance with all state and federal laws and requirements regarding human resources
- Coordinate the employee benefits including enrollment and on-going administration
- Coordinate the on-boarding process for new personnel including allocation of workspace and equipment and review of policies and procedures
- Coordinate staff access to secured facility and parking
- Maintain human resources information system and personnel records
Development and Fundraising (25%)
- Support efforts to build relationships with, manage and steward donors
- Coordinate and execute special mailings and newsletters
- Function as point staff for gift processing, tracking, and maintenance of records in donor database
- Serve as primary logistics staff for annual Autumn Event including planning, promotion, and acquisition of donations for live and silent auctions
- Serve as primary logistics staff for all fundraising events and campaigns
Facilitation of 24-hour Core Services (10%)
- Support victim-survivors on the helpline during business hours and in the absence of an on-call advocate during evening and weekend
- Serve as a point of contact for hospitals, on-call advocates, and law enforcement during evening and weekend hours, on a rotating basis
Other related work duties (5%)
- Work in collaboration with other PAVSA staff to gather feedback from victim-survivors and assist in grant reporting for accessibility efforts (quarterly statistics and narrative report)
- Participate in short- and long-term staff planning sessions including weekly staff and supervision meetings
- Participate in PAVSA’s 40-Hour Sexual Assault Volunteer Advocacy training as needed
- Participate in annual fundraising events
- Flexibility for the potential to work some evening and weekend hours
- Provide monthly staff report for Board of Directors
- Communicate with other professionals and agencies in the community who may work with victim-survivors of sexual violence
- Serve as the representative of PAVSA at community and professional meetings as needed
- Other duties as assigned
Special Requirements
- Must be able to sit in a stationary position or stand for prolonged periods of time (75%)
- Position is based out of an office in downtown Duluth but may need to travel around the Duluth area to meet with victim-survivors
- Must have access to reliable transportation
- Constantly operates a computer and other office productivity machinery, such as a copy machine, and computer printer.
Qualifications:
- Bachelor of Arts or Science; or a minimum of three years of administrative or development experience
- Minimum of one year experience providing supervision
- Demonstrated experience working cross culturally with diverse populations
- Prior completion of Minnesota approved sexual assault advocacy training strongly preferred
- Experience working with people who have trauma or mental health symptoms
- Good listening skills
- Effective communicator
- Ability to work individually and as part of a team

Compensation & Benefits
- $27.50/hour, 40 hours per week
- Paid one-hour lunch (12PM – 1PM)

Sexual Assault Nurse Examiner (SANE) Position, Casual Position
Duties:
- Perform forensic medical exams with patients (13 and older) who have experienced sexual violence within the last fourteen days, includes offering STI and pregnancy prevention medications, head to toe exam, photography, anogenital exam, and evidence collection. (40%)
- Document the patient’s responses to examination questions in the Forensic electronic Medical Record (FeMR). (45%)
- Attend mandatory monthly team meetings on the first Tuesday of the month from 9am-12pm. (10%)
- Perform other related duties as required (5%)

Qualifications:
- Registered Nurse with current Minnesota license and the ability to become licensed in Wisconsin
- Completion of the 41-hour Adolescent/Adult IAFN approved Sexual Assault Nurse Examiner (SANE) didactic training (connection to free training opportunities can be made)
- Ability to work autonomously
- Strong clinical skills
- Exemplary written and verbal communication skills
- Sensitivity in working with survivors of sexual assault
- Desired Qualifications:
- 1 year experience as an RN and/or a prior SANE position
- Preference to RN working 0.7 or less FTE at primary job
- Completion of IAFN approved Clinical Skills Lab

- 60 hours on-call per 4-week scheduling cycle
- Requirement of one holiday shift per year
- Carry a cell phone while on-call
- Immediate response to calls and texts while on-call
- Access to reliable transportation
- 45-minute response time to hospital
Compensation:
- $400/exam
- $90 Stipend for mandatory monthly team meetings
- $30/hour for mandatory skills training and hospital orientation
- $7.50/hour on-call pay (when active SANE)
- On-call time is unpaid during orientation

Internship Opportunity
PAVSA offers excellent internship opportunities for undergraduate and graduate students. Interns can be involved in many of our programs based on their interests and availability. These opportunities include, but are not limited to: crisis line and hospital advocacy, support groups, outreach groups, community education, legal advocacy, youth advocacy, and organizing events and awareness campaigns. All interns are required to complete our state-mandated 40-hour Sexual Assault Advocacy Training.

- Proactive attitude in finding work when unassigned and volunteering for duties when opportunities are provided
- Experience and/or skill working in an administrative position
- Experience and/or skill working with crisis situations
- Flexibility in scheduling and attitude.

- PAVSA does not offer any hourly compensation for internships.
- Much of our work is crisis and/or needs based and available 24/7. Needs regarding coverage may be last minute, will require quick action, and will be on evenings/weekends.

- Sexual trauma history is not considered in acceptance of interns.
